About the Role

We are seeking a high organised, customer focussed, proactive Administrative Assistant to join our Enzyme Solutions team.  This is a Maternity Leave replacement for 7 months, working part-time – 18 hours across 3 days per week.

Key Responsibilities

Reporting to the Business Manager, the Administrative Assistant is responsible for, including and not limited to:  

 

  • Provide administrative services in support of the objectives of Caldic’s Enzyme Solutions business.
  • Be familiar with company's food safety and quality policy, food safety and quality objectives, quality procedures and work instructions.
  • Working closely with the Production Planning Coordinator through:
    • Maintain accurate stock movements, adjustments, journals, bills of material and stock reports through JDE software
    • Monitor, analyse and report on performance to schedule of production activities
    • Identify and detail changes to be made to processing instructions
  • Undertake account management activities including:
    • Deliver on KPIs as set by the Business Manager
    • Identify, qualify and convert opportunities in target markets
    • Develop new business solutions for targeted accounts from an existing customer base and new opportunities particularly in food processing, cleaning, protein processing, nutraceutical and waste management
    • Responsible for professional and diligent account management activities
    • Build strong customer relationships and maintain regular, personal contact with key accounts
    • Comply with Dynamics Adoption requirements including updating and developing customer activity, call reporting, opportunity development, competitor activity etc.
    • Create and maintain a customer intelligence database detailing all significant customer, potential customer and competitor activities
    • Partner with customers to plan and deliver accurate sales forecasts and budgets
    • Manage costs within the budgetary constraints as set by the Business Manager
  • Be back-up and undertake customer service specialist work as required.
  • Contribute to Caldic’s Enzyme Solutions commitment to food safety and quality and maintenance of food safety and quality certifications including FSSC22000.
  • Collaborate with internal teams to ensure alignment on customer satisfaction and seamless delivery.
  • Undertake other activities as requested by line manager.

Skills

  • Prior experience in a similar administration role would be highly regarded
  • Understanding and knowledge of manufacturing processes, planning and logistics within a FSSC22000 framework
  • Attention to detail and strong problem-solving skills
  • Excellent organisational and time management skills and ability to meet competing deadlines
  • Good arithmetic skills and comfortable with numbers and general math
  • Excellent interpersonal and written skills
  • Able to establish and maintain excellent customer relationships
  • A team player with good people skills and able to work as a team and independently
  • Proficiency with Microsoft Office and JDE
