Customer Service Manager

Key Responsibilities

Customer Order & Contract Management

  • Receive, process, and monitor customer orders from entry to delivery.
  • Manage customer contracts, price structures, and service agreements.
  • Ensure accurate invoice and timely resolution of billing issues.
  • Act as the primary liaison with customers, providing proactive communication and support.

Warehouse & Inventory Operations

  • Oversee warehouse activities including receiving, picking, packing, and dispatch.
  • Maintain stock proficiency to avoid shortages and ensure timely replenishment.
  • Coordinate stock transfers between warehouses to optimize delivery routes and reduce costs.
  • Implement inventory management best practices to minimize waste and maximize efficiency.

Transportation, Export & 3PL Management

  • Manage trucking and delivery operations from warehouses to customer sites.
  • Handle export shipments, including documentation, customs clearance, compliance with international trade regulations, and coordination with freight forwarders.
  • Collaborate with 3PL providers, verifying billing accuracy and ensuring timely payments.
  • Monitor logistics performance and implement cost‑saving initiatives.

Strategic & Process Improvement

  • Identify opportunities for cost optimization across operations and logistics.
  • Lead process improvement initiatives to enhance efficiency, accuracy, and customer satisfaction.
  • Develop and maintain documentation standards, SOPs, and reporting.
  • Ensure compliance with internal audit recommendations and corporate guidelines.

Financial & ERP Oversight

  • Oversee invoicing, billing checks, and reconciliation processes.
  • Utilize ERP systems for order processing, inventory tracking, and financial reporting.
  • Support budget preparation, forecasting, and performance monitoring.

Leadership & Team Development

  • Manage and coach the customer service teams.
  • Ensure resources are allocated effectively and performance targets are met.
  • Foster a culture of accountability, continuous improvement, and customer focus.

Reporting & Compliance

  • Commit to transparency with management.
  • Provide regular operational reports, including KPIs and new project updates.
  • Ensure compliance with industry regulations, export laws, and company policies.

Job Requirements

  • Degree in Business Administration, Supply Chain Management, Logistics, or similar field
  • Demonstrable ability to lead and manage staff

  • Ability to work independently and handle multiple projects
  • Good spoken and written English skills.
